We are seeking a highly organized, proactive, and professional Executive Assistant to the CEO to provide comprehensive support in a fast-paced multinational environment. The successful candidate will act as a trusted partner to the CEO, ensuring smooth day-to-day operations and seamless coordination across international teams and stakeholders. Descripción
- Provide high-level administrative and executive support to the CEO.
- Manage and coordinate a complex and frequently changing calendar across multiple time zones.
- Prioritize and screen incoming communications, including emails, calls, and meeting requests.
- Organize and coordinate internal and external meetings, ensuring all documentation and materials are prepared in advance.
- Prepare meeting agendas, presentations, reports, briefing notes, and correspondence in English.
- Take minutes during meetings and track follow-up actions to ensure timely completion.
- Coordinate domestic and international travel arrangements, including flights, accommodation, visas, transportation, and detailed itineraries.
- Act as a key point of contact between the CEO and senior stakeholders, clients, partners, and internal departments.
- Manage confidential and sensitive information with the highest level of discretion.
- Support executive decision-making by gathering information, preparing analyses, and anticipating potential issues.
- Organize corporate events, leadership meetings, board meetings, off-sites, and client-facing events.
- Process expense reports and monitor executive-related budgets and expenditures.
- Coordinate invoice approvals, purchase orders (POs), and liaise with Finance regarding payments and budget tracking.
- Liaise with external suppliers and service providers to ensure efficient office operations.
- Welcome and assist visitors, clients, and business partners attending meetings with the CEO.
- Anticipate scheduling conflicts and operational challenges, proactively proposing solutions.
- Support special projects and strategic initiatives as required.
