ABOUT THE ROLE

Working closely with the Event Producer and Production teams, this role will coordinate all supplier logistics during the installation and load-out phases. The Site Logistics Coordinator will manage delivery schedules, vehicle access, and supplier time slots to ensure a smooth flow of materials and teams on site, while aligning with IFEMA's overall venue logistics plan.

RESPONSIBILITIES 

• Plan and manage supplier delivery and collection schedules during build-up and load-out.
• Coordinate time slots, access routes, and unloading areas for all suppliers delivering scope to site.
• Maintain a detailed logistics schedule and share updates with IFEMA and internal teams.
• Act as the main point of contact for suppliers regarding site access, delivery timing, and logistics procedures.
• Monitor on-site logistics during build and dismantling to ensure deliveries run according to plan.
• Coordinate closely with production, operations, and technical teams to align installation sequencing.
• Ensure compliance with venue rules, safety requirements, and operational constraints set by IFEMA.

PROFILE

• Minimum 3 years of experience in event logistics, production coordination, or site operations.
• Experience coordinating multiple suppliers and delivery schedules for large-scale events or installations.
• Strong organisational and scheduling skills with high attention to detail.
• Ability to manage multiple stakeholders and adapt quickly in fast-paced environments.
• Excellent communication and coordination skills.
• Fluent in Spanish and English.
• Proactive, solution-oriented, and comfortable working on-site during build-up and dismantling phases.
